1. Introduction
Autobot360-PG Manager ("we", "us", "our") is operated by Autobot360 (autobot360.com). This Privacy Policy explains how we collect, use, store, and share personal information when you use our PG management platform, including the owner dashboard, tenant portals, document upload links, and payment pages.
By using the Service, you agree to this Policy. If you do not agree, please do not use the Service.
2. Who this applies to
- PG / hostel owners and managers who create accounts
- Staff members invited to manage properties
- Tenants whose data is entered or collected by property owners
- Visitors to our website, AI PG finder, and public payment or document-upload pages
3. Information we collect
Account data: name, email, phone number, password (hashed), profile details, and authentication tokens.
Property & operations data: PG names, addresses, room/bed layout, rent amounts, expenses, complaints, visitor logs, notices, and billing records.
Tenant KYC: identity details, emergency contacts, and documents (e.g. Aadhaar, PAN, photos) uploaded by tenants or owners via secure links.
Payment data: invoice amounts, payment status, UPI/bank proof uploads, and Razorpay transaction references. Card/UPI details are processed by Razorpay; we do not store full card numbers.
Technical data: IP address, browser type, device information, cookies, and usage logs for security and analytics.
Communications: SMS, email, and voice reminders sent via integrated providers (e.g. Twilio, SMTP/Resend) when enabled by the property owner.
4. How we use your information
- Provide and improve the PG management platform
- Authenticate users and enforce role-based access
- Process rent invoices, utility billing, and subscription payments
- Send automated reminders, KYC links, and notices as configured by owners
- Comply with legal obligations and respond to lawful requests
- Prevent fraud, abuse, and security incidents
5. Legal basis (India)
We process personal data under applicable Indian law, including the Digital Personal Data Protection Act, 2023 (DPDPA), based on consent, contractual necessity, legitimate interests of property operations, and legal compliance. Property owners are responsible for obtaining valid consent from tenants before uploading tenant KYC data.
6. Sharing with third parties
- Supabase — database hosting and authentication
- Razorpay — payments and subscriptions
- Twilio, Resend, or similar — SMS, voice, and SMTP email delivery
- Google Maps — address and location features (when API key is configured)
- Cloud hosting (e.g. Vercel) — application delivery
We do not sell your personal data to advertisers.
7. Data retention
We retain data while your account is active and as needed for billing, legal, or dispute resolution. Owners may delete tenant or property records from the dashboard. See our Data Deletion Policy for erasure requests.
8. Security
We use encryption in transit (HTTPS), row-level security on tenant data, hashed passwords, and restricted API keys. No system is 100% secure; notify us immediately at support@autobot360.com if you suspect unauthorized access.
9. Your rights
You may request access, correction, or deletion of your personal data. Indian residents may exercise rights under the DPDPA by emailing support@autobot360.com. We will respond within reasonable timelines required by law.
10. Children
The Service is not directed at children under 18. Tenant records for minors may be managed by property owners with parental or guardian consent.
11. Changes
We may update this Policy. Material changes will be posted on this page with a new "Last updated" date.
